Job Summary:

Part-time freelance bookkeeper managing invoices, expenses, and financial records in Xero for a community-focused fringe theatre, supporting reporting, budgeting oversight, and timely financial administration.

Location:

Front Room WsM, 13 Central Walk, Weston-super-Mare, BS23 1FF – HYBRID (remote and in person)

Salary:

£150 per day (or £75 per ½ day) (freelance – 2 days / 4 half days a month)

Hours:

Part time – 0.5 days a week & 1 full day per quarter for reporting purposes

About Us

Front Room WsM is a fringe theatre venue in Weston-super-Mare programming a diverse range of theatre, music, comedy & family shows, as well as community events and workshops, for the population of Weston-super-Mare, North Somerset and beyond. Front Room has a focus on artist development for local performers & theatre makers, providing access to developing performance skills via workshops, and paid work opportunities in our in-house productions. We foster the next generation of talent through our arts outreach programme in areas across Weston. Role Purpose

The Bookkeeper will be responsible for paying incoming invoices and sending outgoing invoices at the direction of the Executive & Artistic Directors, and will log all these into Xero (accounting software), categorising and tracking appropriately. They will also be responsible for checking and approving expense claims from the team. All this will need to be done in a time sensitive manner with great attention to detail. They will follow up for receipts and invoices where necessary to ensure all records are complete, and that our accounts are ready to be submitted at the appropriate times, alongside our Artistic director and our accountant.  Once per quarter, they will meet with the director and producer to go through the finances, reviewing spend against tracking categories to make sure things are on track, and address any areas of concern. 

Key Responsibilities

– Respond to emails about invoicing etc in a timely manner (weekly/bi-weekly)

– Awareness of our annual budget, and able to report on that throughout the year at key points.
– Make payments on time, maintaining communication with artists/collaborators/suppliers if there’s any unforeseen delays.
– Keeping up to date records in Xero using all appropriate tracking capabilities to ensure ease when reporting.

Person Specification

Essential:

– Relevant experience in accounting or bookkeeping.
– Strong organisational and time-management skills.

– Ability to work well independently.
– Excellent communication skills.

Desirable:– Passion for the arts.
– Experience working in or with small community-focused organisations.
